HR Admin & Accountant

Hub — HR Admin & Accountant

Hub is one of the fastest-growing data companies, providing real-world training data to the largest AI and robotics companies. Based in San Francisco and backed by Y Combinator and top VCs, its mission is to advance embodied AGI through real-world data and research.

Responsibilities

As HR Admin and Accountant you run Hub's operational backbone: people, access and money. You manage the team on the people side and build a long-term recruitment pipeline.

• Recruitment: manage interviews and build a long-term pipeline for every role we open.

• Employee contracts and onboarding: account access, API keys, everything ready on day one.

• Keep track of every account, API key and access across the company.

• Expenses and salaries, right and on time.

• Invoices: track them, audit them and get them paid, and invoice our clients.

Candidate profile

2 to 5 years of experience in a similar role. More experience is welcome when the track record justifies it. We look for outliers with outstanding achievements and grit.

• Fluent in both French and English, spoken and written.

• Technical. At ease with API keys, access management and the tools our engineers use.

• Extremely organized. Nothing slips, everything is tracked.

• Extremely trustworthy, transparent and accountable. You'll hold contracts, salaries and the keys to every system.

• Good communicator with candidates, the team and our partners.

• CRM operator. Candidates, accounts and invoices live in a system, not in your head.

• AI native. You can build agentic workflows that automate onboarding, access tracking, expenses and invoice audits. You research the field daily.

• Big sense of ownership. If it touches people, access or money, it's yours until it's done.

• Passionate about technology. You love finding the tool, or building the agent, that makes a process disappear.

• Bonus: you're a Hermes Agent user, or run a similar always-on personal agent.

Tools and working stack

Agentic workflows that automate onboarding checklists, access tracking, expenses and invoice audits.

• A CRM and tracking system for candidates, accounts, API keys and invoices.

• Frontier models for drafting, reviewing and reconciling, with a human check on everything that matters.

• Your own agent setup, keeping every checklist moving.

Example missions (illustrative, not agreed targets or budgets)

We need to recruit a new Full Stack Engineer. You manage the pipeline from A to Z, until the contract is signed and they're in a Slack channel with access to all threads, ready to start.

• We need to know how much each employee spends on API credits every month.

• We need to open a new office in Paris: company structure, location, paperwork. We move in within 60 days.

Compensation and work authorization

Employer clarification relayed by Victor on 2026-09-25; the original JD remains the source for role responsibilities and work location.

• Around USD 3,000 per month (approximately USD 36,000 annualized), with a somewhat higher or lower base possible depending on the profile; this is a reference budget, not a rigid minimum or maximum.

• Hub says no existing work authorization is required for Account Manager, Executive Assistant, HR Admin & Accountant or Marketing Manager. This is the employer's stated recruiting policy, not a legal conclusion or a promise of visa sponsorship; it does not change the roles' stated locations or work modes.

• Remote. Paris lab opening soon, and you'll be the one opening it.

• Direct work with the founders, across every part of the company.

Recruitment process stated in the JD

A short application read by the founders. We open your handles first: your LinkedIn and the systems and processes you've built.

• One conversation, then a task from the real work, like the missions above.

• We watch how you approach the problem, how you break it down, what you measure, and how you verify your own work.

• Final conversation, then ans
